Terms & Conditions

Event:

  • All participants must be in a team of a minimum of 3 people. You do not have to sign up as part of a team, as we will run team-mating socials to help you find team-mates, however it is the participants responsibility to attend and network, using the facebook group too. RAG will provide a deadline for all participants to be in a team after sign up.
  • Sheffield RAG are not responsible for your travel to the start location or return travel back to England, although as the event will only use 4 of your 5 in 10 days travel, the 5th day can be used to travel to across Europe (but NOT across the water or within Britain). RAG will suggest the cheapest options and strongly recommend booking this early to avoid mounting costs.
  • Your ticket (£70) includes: your inter-rail pass (with the option of extending travel for an additional cost of £75 during the signing up process), T.H.E t-shirt, T.H.E goody bag with T.H.E Guide, public liability insurance and your treasure hunt.
  • Sheffield RAG is not responsible for any items stolen or lost during the event; as such we recommend that you invest in travel insurance. Please make necessary safety precautions, such as money belts and keeping valuables concealed at all times. Make sure you keep belongings with you at all times and stay together in a group. Never leave one person with all your luggage.
  • All participants must attend a safety briefing (date, location and time will be emailed out after sign up) run by the RAG Committee. Failure to attend a safety briefing will result in being unable to participate.
  • The event will run from the launch time at the start location and last until your team reaches the end location.
  • A short period after the first team reaches the end location; all teams will be contacted offering them the chance to find out the quickest route to the final location. If this information is requested and accepted the event will then finish at this point for the team.
  • During the event all participants are reminded that they are representing the University of Sheffield and the Students' Union. Any behaviour deemed unacceptable during the event will be treated in the same way as it would be in the Union itself.
  • The RAG Committee will provide a 24 hour safety phone, for emergencies only and all details on its appropriate use will be provided at the compulsory safety meeting and in the T.H.E Guide.
  • All participants must be students, possessing a valid NUS or U-card number. Participants do not need to be students at the University of Sheffield to take part, but they will be required to pay an additional £10 to the ticket price (£70) to be affiliated with the University of Sheffield Students Union.

Travel Home:

  • The opportunity to use your remaining days of inter-rail travel to return home is available to all participants as the event itself will only last 4 days. If a group for some reason was not able to reach the final location by midnight on the final day of the event they will have the option to return home from their current location, or to find an alternative means of transport home.
  • Sheffield RAG have tried as much as possible to ensure that the Treasure Hunt allows for return to the nearest ferry port within a days travel, when you arrive at the end location, the committee will provide participants with various options and routes to travel back to a location where they can travel directly to the UK. RAG do advise that participants budget in case of needing to book alternative transport back to the UK.
  • We do NOT guarantee transport on high speed trains from the end location back to the UK, although this is possible. When many people travel back on the same day it can be very difficult to reserve places for everyone and participant's reservations charges and supplements will not be payable by Sheffield RAG.
  • If you are unable to make it all the way home due to train delays, we will provide you with information of the lowest cost way to return.
  • If for any reason you are unable to return home, it is essential that you contact Sheffield RAG in order to make any arrangements.

Accommodation and Food:

  • Sheffield RAG is not responsible for organizing accommodation or food.
  • Sheffield RAG will provide each participant with information for a vast number of youth hostels throughout mainland Europe in the T.H.E Guides.
  • If participants wish to stay in a hostel at a location, instead of using night trains, participants should ring the hostel in advance of arriving in the city to reserve beds, as RAG can not guarantee hostel places.
  • Sheffield RAG do not recommend sleeping on train platforms or in train stations.
  • If using night trains, RAG recommends that you stay in groups and have one person awake at all times, with valuables concealed.

Scavenger Hunt

  • In order to pick up the clue for the next city, participants as a team must bring the RAG stewards at each check point the correct answer/evidence to the scavenger hunt element of the Treasure Hunt.
  • Allowing participants to continue the Treasure Hunt with the incorrect answer/evidence will be at the discretion of the RAG stewards at the city clue-point, in contact with the UK safety team.
  • To win the grand prize, the team needs to have successfully completed all scavenger hunt elements and arrive at the end city first.

End Party:

  • The end party will be on Thursday 17th June 2010, all participants are invited and the location and details will be made available when participants reach the end city clue point.
  • The end party is after the finish of the event but any behaviour deemed unacceptable will be treated in the same way as it would in the Students Union.
  • Any damage caused is the personal responsibility of the person(s) involved.

Refunds:

Once registration fee of £70 has been paid refunds can NOT be given.

  • Any money raised on 'justgiving' cannot be refunded in the case of dropping out, although minimum sponsorship cheques will be returned or destroyed.
  • In the case that £250 minimum sponsorship is not raised, the cheques for minimum sponsorship will be cashed after the event.
  • The deadline for raising the minimum sponsorship of £250 is WEDNESDAY 21st JULY 2010. Details for raising the sponsorship through Just Giving and advice and help on raising this target will be given in your T.H.E Pack, collected from the Source desk after signing up.

INITIAL DEADLINES FOR CHEQUES:

Please clearly write your name, email address and card number on the back of the cheques.

  1. Handing in cheques £70 and £250 minimum sponsorship to the Source within two weeks of signing up for THE.
  2. Please hand in £75 cheque, if you are extending your inter-rail pass.
  3. If ordering a THE hoodie, please submit the £16 cheque at the same time as the above cheques.
  4. Non-University of Sheffield students must pay an additional £10 to be affiliated with the Students Union.

- When you hand in your cheques to the Source desk, you can collect your the Pack, with further details and help with raising the minimum sponsorship.
